Runs the desk in the twenty minutes that decide the event’s perception: identifies, prints, hands over and resolves anomalous cases without blocking the queue behind.

Welcome hostess

Welcomes, orients and informs. Holds the same register from the first hour to the last and recognises who should be escorted personally rather than pointed to with a gesture.

Flows, gates, felt security

Floor steward

Supervises gates and paths, governs queues and assists guests with special needs. At large events it’s the most numerous figure on the team.

Hospitality and cloakroom attendant

Runs cloakroom and reserved areas. The value is measured on the way out: how long it takes to return two hundred coats when everyone leaves at once.

Tells, lets try, collects contacts

Promoter and brand ambassador

For activations and roadshows: presents the product per the approved script, manages trials and sampling and collects qualified contacts per agreed rules.

Team leader and coordinator
The structure that holds the team together

Team leader and coordinator

Coordinates the staff in the field, manages shifts and replacements, keeps the line with production and the venue and sends the report. At large events it’s structured on multiple levels.

Selection

How we choose the people we propose

Selection is the first filter on risk: a verified profile reduces absences and surprises on site.

  • Individual interview with a check on the declared language level
  • Verified work history: events, contexts, roles already held
  • Assessment of presence and stamina over long shifts on your feet
  • Reliability: punctuality and attendance in previous engagements
  • Written operational briefing on floor plan, positions and hours
  • Reserves identified upfront for every confirmed team

How many people you need, in practice

  • Up to 100 guests1 accreditation desk and 1 welcome figure; cloakroom in the cold months.
  • 100 to 500 guests2–4 desks sized on the arrival peak, 2 welcome figures, stewards on the gates, a team leader from the fourth person.
  • Over 500 guestscoverage across several entrances, area team leaders and a general coordinator; cloakroom sized on the exit.
  • Reserved areas and hospitalityat least 1 fixed figure for guest list and VIP area, regardless of the total.

Rough guidance. The final sizing is calculated on the arrival peak and the number of gates, not on the total of guests.
