What we can do for your event

Event staffing services, modular and available one at a time

Welcome, accreditation, floor, languages and coordination. Take a single figure or the whole team: the quote stays single and fixed, with OPEN S.r.l. as your only contractual counterpart.

Accreditation, registration and access control

The bottleneck of every event: here you win or lose.

Registration desks, badge printing and handout, list checks, access control to reserved areas. Sizing is calculated on the arrival peak, not the total of guests: it’s the most common mistake and the most visible.

  • Registration desks sized on the arrival peak
  • Badge printing and handout, named-list management
  • Access control to reserved areas and backstage
  • Handling of off-list guests per your rules

Welcome and audience assistance

The people who orient, inform and keep the tone up.

The figures that welcome guests, orient them between halls, cloakroom and services, answer recurring questions and recognise VIP guests. It’s the presence that makes an event legible to anyone entering for the first time.

  • Welcome in Italian and English, other languages on request
  • Orientation between halls, services and refreshment areas
  • Recognition and escorting of VIP guests
  • Continuous coverage with rotated breaks

Floor stewards and flow management

Clear paths, governed queues, felt security.

For events with many people on the move: gate supervision, queue management, escorting to seats, assistance for guests with special needs and cooperation with the security service where planned.

  • Gate supervision and queue management
  • Escorting to seats and halls
  • Assistance for guests with disabilities and families
  • Cooperation with the event’s security plan

Hospitality, cloakroom and floor service

Dinners, cocktails, VIP areas, cloakroom.

The service that makes an evening event orderly: numbered cloakroom with fast return, reserved-area supervision, escorting to tables and coordination with catering in the transitions between the moments of the evening.

  • Cloakroom with numbered handling and fast return
  • Supervision of VIP and reserved areas
  • Escorting to tables and managing the moments
  • Coordination with catering and technical suppliers

Promoters, brand ambassadors and roadshows

When the event must also sell or let people try.

Staff trained on the product for activations, promotional tours, sampling and branded-area supervision. With a script approved by the client and contact collection per agreed rules.

  • Product briefing and script approved by the client
  • Sampling, demos and hands-on trials
  • Contact collection with digital forms or badge scanners
  • Daily report on numbers and feedback

Coordination and team leaders

The structure that holds large teams together.

Above ten people coordination isn’t an accessory: it’s what holds shifts, breaks, replacements and communication with production together. At very large events we field area team leaders and a general coordinator.

  • Area team leaders, general coordinator at large events
  • Roll-call, shifts, breaks and immediate replacements
  • Direct line with production and the venue
  • End-of-day report and final statement

Contexts

How the service changes with the type of event

Headcount isn’t enough: the type of audience, the arrival peak and the venue’s procedures matter.

Conventions and corporate events

Registration, badges, hall supervision and management of the social moments. The pace is set by the agenda: the staff must know it by heart.

Congresses and scientific societies

Parallel rooms, training credits and sponsors: here traceability of attendance and precision to the minute matter.

Concerts, festivals and shows

Large numbers, multiple gates and flows in and out: it takes numerous teams and a multi-level coordination structure.

Sports events

Accreditations, reserved areas, sponsor hospitality and audience assistance, often over several consecutive days and in unconventional spaces.

Fairs, stands and roadshows

Space supervision, visitor qualifying, product promotion and structured collection of contacts.

Institutional events and public sector

Protocol, security lists and access procedures. As a supplier listed on MePA we also handle the administrative side of the purchase.

Glossary

The words of event staffing

A minimum vocabulary to read quotes — ours and anyone else’s — without misunderstandings.

Arrival peak
The half-hour in which most of the entries are concentrated. It’s the correct parameter for sizing desks and welcome, much more than the total number of guests.
Accreditation desk
The registration station at the entrance, where attendees are identified and receive badges and materials.
Area team leader
The coordinator of a portion of the event — an entrance, a hall, a room — at events too large for a single contact.
Reserve
The profile identified and paid to be reachable in case of absence. It’s defined at confirmation, not when the problem arises.
Operational briefing
The document the staff receive before the event: floor plan, positions, hours, dress code, behaviour rules and useful contacts.
MePA
The Italian public-administration electronic marketplace, through which bodies buy services from registered suppliers via direct negotiation or a request for quotation.
